Alexandrina Council of 11 Cadell St, Goolwa, SA, 5214  (the Council) invites tenders from Tenderers for the provision of media monitoring services (the Services).

The Marketing and Communications Team are responsible for the management, reporting and monitoring of media on behalf of Alexandrina Council.  The mediums include: radio, print, digital and social media.

Currently the Communication and Marketing team have to manually track topics across medias. This is a lengthy process. It involves purchasing newspapers, listening to the radio, and watching TV broadcasts, and looking for coverage of a specific news story. Media mentions are still physically cut out of the newspapers or copy and pasted from websites into Word documents. Broadcasts mentions are manually transcribed from a broadcast.

The process of manual media monitoring and measuring is slow, can lead to inaccuracy and is resource intensive. There are now easier methods of media tracking and an increased level of automation and efficiency in the collation and reporting of clippings, or media monitoring, process.

In an organisation like Alexandrina Council it is important to deal with a crisis quickly, and listen out for negative publicity. All of this can be achieved by effective media monitoring. As a contemporary council it is critical that media is managed and reported in real time. There are also a number of social media accounts that need to be managed around the clock.

d on this the Marketing and Communication Team would like to procure the services of a media monitoring agency. This will bring efficiencies directly to the marketing and communication team as monitoring and reporting can be done instantly freeing up limited staff resources to progress other communication and marketing activities. It will also allow the Council to have real-time reports on any issues. This is critical from a risk management and reputational risk point of view and to be on the front foot of any crisis.

Alexandrina Council is a regional council and therefore need to ensure that our media monitoring services cover the following print media:

The Victor Harbor Times;
The Courier;
The Argus, and;
The Advertiser.


We also will need to monitor local radio:

ABC Adelaide, and;
5MU.

The aim is to contract a media monitoring company that can provide media monitoring services to assist with real time media monitoring and reporting for Alexandrina Council.

This will be an exclusive contract to deliver the services.

The term of the contract will be 12 months with 12 month extension option/s available at the sole discretion of the Alexandrina Council.
